Cambridge Data Limited has now launched the premium TagandFile Professional service in order to provide professionals with more great value document storage space.
We do not believe that providing a premium business service could or shouldbe based on advertising revenue alone. Therefore the TagandFile Professional service will carry a subscription charge of $20 per year for its use, plus local sales taxes.
Regsitered users of the free TagandFile Basic service can upgrade your account online for increased storage space at anytime and will automatically be prompted to upgrade at the storage limits of 100Mb total used storage or 100 distinct file versions.

After the recent failure of my friend’s hard drive I decided to look a little more into hard drive failures.
I was shocked to come across a recent study by Garth Gibson from Carnegie Mellon that suggests hard drive failure rates are 15 times higher than what manufacturer specifications report.

And how many of us take care of our hard drives the way experts suggest? A list of what is recommended…
1. Long burn in times.
2. Mount drives vertically.
3. Keep them cool.
4. Replace them every two years.
These hard drives are picky little machines. I much rather have experts worrying about storing my data on-line than have to pamper my hard drives. At tagandfile.com we will pamper and protect your data so you don’t have to be a slave to the demands of your hard drive.

We will shortly be updating the terms and conditions of the TagandFile service and I wanted to provide an explanation to the reasoning behind that before we do it. It would be great to hear your views on these changes. You can see the current terms and conditions at:

You can be reassured that Cambridge Data is still passionate about protecting your information and the changes actually represent a strengthening of the commitments that we offer our users as we move towards launching the commercial TagandFile Professional service. We will continue operating the free TagandFile Basic service for users to trial the service with access to less than 100Mb files and less than 100 file versions.
Here are some details of the changes:
- Throughout, we refer to TagandFile Basic and TagandFile Professional as “The Services”
- In point 6 of the general rules, we add a statement saying “Cambridge Data Limited does not own any information that you store in your account.” to make the point clear.
- We have created new sections to cover cancellation of subscriptions, and changes to The Services including changes to the terms and conditions and charges
- In the Data Privacy, Security and Safety section we remove the clauses stating that Cambridge Data makes no guarantees about the safety and security of the data that you upload, and that it is still a beta service. Instead, we commit to making reasonable efforts to keep the information you upload secure and available to you.

We’ve hired a new technical employee and also now have a presence in California as well as London, Cambridge and Winchester in the UK. For individuals and businesses, the problem of organizing, finding, storing and sharing electronic information is becoming harder. Knowledge professionals spend time filing and deleting emails, or searching for attachments or other electronic files in email systems, local Windows filesystems, fileshares or portable devices when a particular piece of information is needed. Such activities are frustrating and time-consuming for individuals and represents an opportunity cost for businesses. It may also represent a real cost to businesses in terms of lost customers when communication and knowledge transfer with them is less effective than the competition, or as a result of litigation caused by not being able to fully disclose all information relevant to a Freedom of Information request. Other problems include: sending the wrong version of an electronic document to a customer because multiple different versions are stored in multiple locations, confidential information being forwarded to unauthorised people when it is sent as an email attachment, loss of critical customer information when a laptop is stolen which had not been backed-up. Knowledge-based industries such as legal services, financial services, healthcare and publishing are particularly effected.
Large businesses currently solve these problems with Enterprise Document Management software. This highly-functional software category is well-established, but is also expensive and complex to implement. Individuals and smaller businesses are currently underservered since existing Document Management solutions are too expensive and complex, while other alternatives such as Windows fileshares only partially address the problem.
The problems of managing electronic information are becoming more severe because of the rapidly increasing volumes of electronic information which professionals create and receive, and because of the increase in number of devices they use to access, manipulate and store electronic information.
Cambridge Data Limited provide a hosted document management service – called TagandFile – to address the information management requirements of small knowledge-based businesses and individual professionals. It applies tagging technology which is a superior way of organising and sharing electronic information, and because it is a hosted service it is flexible and sufficiently low-cost to appeal to small businesses and individuals.

Benefits of Uploading Files
Often when I explain what we are trying to do with TagandFile, people ask what the benefits are of uploading files to a centralised service. They also sometimes question whether people would be willing to have their files hosted in a remote location when they are used to accessing them on a local hard-drive.
The key point here is: Centralised hosted of your electronic information allows you to access it from anywhere with an internet connection and reduces concerns about backup. One PhD student is using our service to backup her thesis as she writes it! The problems of being able to access information from multiple devices and backup are becoming larger as the days are gone when professionals have just one desktop computer that they use day-to-day. Another important benefit is that centralised hosting makes it easier to find the information you need as it is in one place and to manage versions of documents.
We’re working on new features in TagandFile which will make it increasingly easier to upload files so you can get the benefits of centralised file storage while reducing the time needed upfront. Here’s a list of what we are planning and we’d be very keen to hear from you as to what would be most useful to you:
- Upload an entire directory
- Synchronise changes with a local directory
- Automatically extract tags from the document content as they are uploaded in bulk
- Faster uploads of large files using grid uploading technology from Cambridge University
- Upload using email
- Upload using a local client and plug-ins for browsers and common document authoring applications

… as Guy Kawasaki said in his book “Rules for Revolutionaries”. The TagandFile team is trying to do just that. We’ve had great feedback from our beta launch and are planning a couple of major new releases including launching TagandFile Professional 1Gb which will give more storage space and allow more files to be uploaded for $20 per year. We’re also planning additional functionality to make it easier for you to get your files uploaded and tagged in bulk.
In the short term we realised that we could make the homepage a bit clearer and provide more information about the TagandFile service and the company behind it (Cambridge Data Limited) before signing up. Do check it out and let us know what you think if you have not visited in a while:
Examples of how people are already getting value out of the service are:
- Sharing spreadsheets and documents with work colleagues
- Backing up a PhD thesis by uploading to TagandFile rather than just emailing it to an online email account. Using TagandFile makes it much easier to track the version.
- Transfering files and documents between computers e.g. when only one is setup to print from or has the right readers / applications installed
Personally I use it everyday for all those things, but them I’m biased…

A Few More Changes
We’ve made a few more minor changes to TagandFile today, including the ability to add a message when you invite your friends or colleagues to use it, and merging together the ‘Update’ and ‘Edit’ operations into one action. We’ve also fixed a bunch of minor niggles. Hopefully you’re enjoying using TagandFile – as always, please send us any feedback or comments.

Upload Multiple Files
We’ve just made a few changes to TagandFile, the most significant of which is to allow you to upload multiple files at once; through the web, you can now select up to 5 files to upload and give them the same set of tags and notes. Hopefully this should make it quicker to upload files. We plan to add this enhancement to the Windows tagging application later.

A look back at the first day
It’s been great to see the number of registered users ramping up over the last 24 hours, and we’ve already had some really valuable feedback from those that were kind enough to tell us what they thought.
As you might expect, the team are currently focused on tweaks, enhancements and fixes to the TagandFile service, but we’ve also had some really exciting discussion, within the company and externally, about future directions the service could take. We tend to find that a new user’s fresh perspective on TagandFile leads to insightful ideas and observations that might never have occurred to us in isolation. Also, it’s good to see that even the beta trial we have at the moment is being talked about by some interesting people – Naomi over on the AdGlobe Tech blog already has a nice write-up of our trial here.
