Overall it’s been a great week for the service and for Cambridge Data with more people than ever signing up. We’ve hired a new technical employee and also now have a presence in California as well as London, Cambridge and Winchester in the UK. For individuals and businesses, the problem of organizing, finding, storing and sharing electronic information is becoming harder. Knowledge professionals spend time filing and deleting emails, or searching for attachments or other electronic files in email systems, local Windows filesystems, fileshares or portable devices when a particular piece of information is needed. Such activities are frustrating and time-consuming for individuals and represents an opportunity cost for businesses. It may also represent a real cost to businesses in terms of lost customers when communication and knowledge transfer with them is less effective than the competition, or as a result of litigation caused by not being able to fully disclose all information relevant to a Freedom of Information request. Other problems include: sending the wrong version of an electronic document to a customer because multiple different versions are stored in multiple locations, confidential information being forwarded to unauthorised people when it is sent as an email attachment, loss of critical customer information when a laptop is stolen which had not been backed-up. Knowledge-based industries such as legal services, financial services, healthcare and publishing are particularly effected.  

Large businesses currently solve these problems with Enterprise Document Management software. This highly-functional software category is well-established, but is also expensive and complex to implement. Individuals and smaller businesses are currently underservered since existing Document Management solutions are too expensive and complex, while other alternatives such as Windows fileshares only partially address the problem.  

The problems of managing electronic information are becoming more severe because of the rapidly increasing volumes of electronic information which professionals create and receive, and because of the increase in number of devices they use to access, manipulate and store electronic information. 

Cambridge Data Limited provide a hosted document management service – called TagandFile – to address the information management requirements of small knowledge-based businesses and individual professionals. It applies tagging technology which is a superior way of organising and sharing electronic information, and because it is a hosted service it is flexible and sufficiently low-cost to appeal to small businesses and individuals.
